Role Opening: GSASA Board Secretary

An opportunity has arisen for a Board Secretary to join the Glasgow School of Art Students Association (GSASA) and provide ongoing support to the Charity's Board of Trustees. We are looking for a current student at GSA who will still be studying at GSA in 2022/23. 

We are looking for someone with strong organisational skills, has a keen eye for detail and be adaptable to aid with various tasks.  The role of the Board Secretary is to support the Student Sabbatical President (& Chair) and Board of Trustees at the GSASA in ensuring the smooth functioning of the charity at a governing level. 

We are keen to make our team as diverse as possible, and we hope to attract applications from underrepresented groups, including Black, Asian and minority ethnic (BAME) people; people with disabilities; LGBT+ people; people with gender diverse identities; and people from lower socio-economic backgrounds. Our current focus is to provide opportunities for these under-represented groups. 

In the role you will gain experience of working within a governing body and play an active role in supporting the activities of The Students’ Association.  

We’re at a very pivotal point in the development of the organisation and you’ll benefit from insight into how a Scottish charity transitions. 

Board of Trustee meetings are held on the first Wednesday evening of the month, approximately 10 times a year and lasting for approximately 2 hours; as well as extraordinary meetings when necessary.  

This position is remunerated by way of a £500 annual stipend, with approximately 5hrs commitment per month. 

 

Specific duties include: 

  • Drafting and agreeing with the Chair on the agenda; liaising with internal & external participants; sharing documents with participants through a compiled pdf. Receiving agenda items from Board members & Association staff. 
  • Taking minutes & circulating once approved by the Chair. 
  • Circulating an action list; Checking that agreed board actions are carried out and other actions as requested. 
  • Keep appropriate records: Using SharePoint to keep and maintain the archive of permanent records of the Charity’s operations and decisions.
  • Maintaining a filing system of all legal documents relating to the Charity.
  • Other governance and compliance tasks as directed by the Chair of Trustees and Board. 

 

Essential skills and experience: 

  • Ability to work independently and to proactively plan, organise and prioritise effectively, delivering work to standard and within deadlines.
  • Excellent IT skills and knowledge of Microsoft Office programs/applications (including Word, Excel, PowerPoint, Outlook, Teams).
  • Excellent interpersonal skills and communication skills (written and oral). 

 

Desirable skills and experience:

  • Excellent administrative or secretarial skills.
  • Experience of general administration, clerking meetings, dealing with correspondence, and liaising with a diverse range of people both internal and external to the organisation.
  • Experience of providing PA support. 

 

In summary, the Board Secretary is responsible for ensuring meetings are effectively organised, minuted and maintain effective records and administration.
